OCR (Optical Character Recognition) technology at this point is more than just extracting text from a document, OCR is a whole range of products that allow you to interpret text and extract the information you need from it, to ultimately deliver the most precise data to surrounding systems. The times when OCR merely streamlined data extraction are slowly passing away, giving way to fully automated tools that deliver data from documents.

OCR products available from OpenText have been built and developed for many years, becoming over this time the leader of this type of solution. The multitude of methods used in the work, artificial intelligence algorithms or machine learning allow to achieve better and better results, improving the quality of extracted data by leaps and bounds.

OCR's diverse product portfolio provides solutions to fit every need. Both small cloud solutions, dedicated to automating simple processes, and large platforms, enabling the creation of a separate data acquisition center within the organization, are offered. The choice of tool is dictated by the specific need. The multitude of products offered by OpenText allows you to choose the optimal one, without the need to bend one tool to the currently posed problem.

Key Features of the OpenText Intelligent Capture Solution

It is possible to process multiple documents simultaneously, from different sources and available in different formats.

Data is extracted automatically, the time required to read one page usually takes up to 30 seconds. It is possible to operate the system without human intervention, which in the case of simple tasks automates the entire process.

The integration possibilities are endless. Both off-the-shelf interfaces, e.g. to SAP, OpenText xECM, are available, as well as exchange using the CMIS interface or issuing recognition results in xml or csv format.

The solution offered depends on the specific need. It is possible to use OCR for simple tasks, such as searching the content of a document for an order number or converting a document image into a searchable document, but also for tasks of greater complexity. An example of a more complex task is extracting data from invoices or HR documents.

The OCR system normalizes the extracted data, which is crucial for the work of collaborative systems. Data extracted in this way will always have the same format, enforced by the system. In addition, when working with a validator, the system will not release a job without completing the required data or attaching all the required documents.

Examples of Applications

OCR will work well wherever we have to deal with numerous documents. It will cope best with structured documents or the extraction of data of a very precise type - these kinds of tasks can even be handled without human supervision. For all the rest of the documents, a supervisor will be needed, but OCR will still make the data extraction process significantly more efficient.

A good example illustrating the use of an OCR tool is invoice workflow. In the case of OpenText, we are dealing with SAP VIM, which is an add-on to SAP. This solution is responsible for the broadly understood workflow in the SAP system, including precisely the workflow of invoices. VIM comes with a dedicated OCR product - Intelligent Capture for SAP or Core Capture for SAP (depending on whether you want the On Premise or On Cloud version), communication works on the basis of ready-made, configurable interfaces, and the OCR engine developed by OpenText is responsible for recognition. Both products are the latest generation of systems, a continuation of the Information Extraction Service engine, all the while undergoing strong growth.
