How we simplified training for app users

Instructional videos to support application implementation

FINANCE INDUSTRY

Customer Profile

A financial institution was implementing a new application to support user work in operational processes. In order to reduce user startup time, standardize the way of working and reduce the number of questions for the project team, the client needed a complete package of training materials in the form of short instructional videos.

Challenges

Complexity of processes and terminology:

The need to translate the specifics of working in a financial institution into clear, repeatable steps in the application.

Consistency of communication:

Maintain a uniform vocabulary, narrative standard and naming of application elements in all videos.

Iterative implementation:

Readiness of materials to be updated in case of changes due to implementation and user feedback.

Quality and compliance:

Ensuring that materials are unambiguous, free of mental shortcuts and ready for use in a regulated environment.

Key Project Information

The video training materials were prepared directly for the application implemented at the client's site.

The standard of short, unambiguous step-by-step modules was used, reflecting the user's real work.

The production process was designed to support iterations and quick fixes on the content, narrative and screen sequences side.

Key Project Information

Project Stages

Stage I - Establish a standard for training materials and map topics to application features

Stage II - Completion of scenarios ready for implementation

Stage III - Preparation of the first version of the videos and presentation to the client

Stage IV - Close the round of feedback, implement revisions, and deliver the final package of training materials

Milestones

An analysis of the application's functions and key user paths was conducted. The standard of materials (the structure of the video, the way the steps are presented, the naming of the application's elements, the style of narration) was established and a list of training topics for implementation was prepared.

A production-ready script was developed for each topic, including: the purpose of the video, the sequence of steps in the app, the content of the narrative, the indication of shots, and elements that need to be emphasized. The scenarios were created to focus on the actions the user is expected to perform in the app, without unnecessary digressions.

Short sequences showing the work in the application according to the scenarios were recorded. In parallel, a voiceover layer was prepared based on the approved content, which ensured narrative consistency and enabled smooth changes during iterations.

The first version of the videos was assembled and presented to the client for evaluation. After gathering feedback, corrections were made, necessary catch-up sequences were made, and final versions of the materials were prepared ready for distribution.

Scope of Work

Requirements analysis and mapping of topics to application functions

Identification of key user paths in the application,

Organizing training topics into logical modules,

Establish the standard of the video (structure, language, pace, naming of application elements).

Scenarios for application functions

Preparation of step-by-step scenarios based on real use cases,

Defining: the purpose of the video, the sequence of steps, voiceover messages, shots and quality checkpoints,

Refining scenarios for readability and repeatability.

Recordings according to the script

Recording of short sequences showing the work in the application,

Preparation of a voiceover layer based on scenarios using speech synthesis (ElevenLabs).

Assembly and composition of the material

assembling video and voiceover sequences into a coherent training module,

use of elements that facilitate learning: charts, steps, highlighting, summaries,

Prepare a version for evaluation and approval.

Iteration 1 → presentation → feedback → revisions → finalization

Handing over the first version of the videos to the client,

Collecting feedback and unifying comments,

Implementation of corrections and final export of materials ready for publication.

creating your own matrices.

Project Effects

As a result of the project, the client received a cohesive package of training videos directly supporting the implementation of the application. Key deliverables include:

Consistent training for key application functions - Materials were prepared in a unified standard, with consistent naming of application elements, making it easy for users to quickly find the right instructions.

Short step-by-step sequences The videos show specific actions in the application in a direct and repeatable manner, supporting the correct execution of processes and reducing errors due to ambiguous instructions.

Iterative refinement based on feedback The first version provided an opportunity to evaluate the pace, style and scope of the content. The feedback gathered was translated into revisions to the scripts, narration and video sequences, leading to a final version in line with expectations.

Ready package for publication and further expansion The final set of materials was handed over as a training set ready for publication and maintenance, with the possibility of further expansion as the application develops.

We implemented the project iteratively - so that the client sees the first materials as soon as possible, can assess the style and pace, and then clarify expectations in the feedback before finalization.
